KIIMS Institute, Adoor
Last updated: 29 October 2026
This policy explains how KIIMS Institute handles personal information received through our website, admission enquiries, Facebook and Instagram lead forms, telephone calls, WhatsApp conversations and related enquiry records in our CRM. Separate information may be provided when you enrol or use other institute services.
1. Information we collect
Depending on how you contact us, we collect your name, phone number, email address if provided, town or location, whether you are a student or parent/guardian, educational qualification, course interests, intended joining time, preferred callback time and the information you choose to include in your enquiry. We also maintain relevant counselling notes, follow-up dates, enquiry status and communication history.
For enquiries submitted through Meta lead forms, the information may include the form submission identifier, submission time, form or advertisement identifiers and the details you submit. Our website and hosting services may record technical information such as IP address, browser or device information, requested pages and security logs.
Please do not submit Aadhaar details, bank or payment-card details, passwords, medical records or copies of certificates through a general advertising enquiry form. Any documents needed for admission should be supplied through the admission process specified by the institute.
2. Why we use your information
- To respond to your enquiry and explain courses, eligibility, fees, training and placement support.
- To arrange counselling, callbacks and admission-related follow-ups.
- To assign your enquiry to authorised institute staff and maintain accurate enquiry records.
- To understand which courses and enquiry sources are useful, including aggregate advertising and enquiry reporting.
- To operate and protect our website and systems, resolve complaints and meet applicable recordkeeping obligations.
Submitting an enquiry does not enrol you in a course or guarantee admission, a job or any particular salary.
3. Contact preferences and consent
When you request information or agree to follow-up contact, we use the contact details you provide to respond by telephone, SMS, email or WhatsApp, as relevant to your enquiry and the preferences you give us. Consent for an enquiry is not blanket permission for unrelated promotional messages.
You may ask us to stop promotional or enquiry follow-up contact, change your preferred channel, or withdraw consent by replying to our message or contacting us using the details below. Withdrawal does not affect processing already carried out, and necessary service communications or records may continue where otherwise permitted or required.
4. Who may receive your information
Access is limited to authorised KIIMS personnel and service providers who need information for the purposes described here, such as website hosting, CRM support, technical maintenance and communication delivery. We do not sell your personal information.
If a specific admission, certification, internship or placement request requires information to be provided to an education partner or employer, we will explain the relevant purpose and obtain consent where required. Information may also be disclosed where legally required or necessary to address fraud, security incidents or legal claims.
5. Facebook, Instagram and WhatsApp
These services are operated by Meta and handle information under their own privacy policies. When you submit a KIIMS lead form, the information you choose to provide is made available to KIIMS for the stated enquiry purpose and may be recorded in our CRM for authorised follow-up. A conversation on a Meta service and an instant-form submission are separate ways of contacting us.
These services and other providers may process information outside India. Their applicable privacy policies explain their own processing and safeguards.
6. Cookies and external services
Our website and third-party features may use cookies or similar technology for site operation, security and preferences. Third-party links or embedded services, where present, may collect information under their own policies. You can manage cookies through your browser settings; restricting cookies may affect some features. Where consent is required for analytics or advertising tracking, you may choose whether to allow that processing through the choices provided or contact us for assistance.
7. Retention and security
Information is kept for as long as reasonably necessary for the enquiry or service, follow-up, complaint resolution and applicable legal or recordkeeping purposes. Retention depends on the type of record and whether an enquiry becomes an admission. You can ask us to review whether your enquiry information is still needed.
We use reasonable organisational and technical measures to protect the information we handle. No internet transmission or storage system can be guaranteed completely secure. Please contact us promptly if you believe your information has been misused.
8. Your requests and complaints
You may contact the KIIMS administration team to ask about information held about you, request access or correction, request deletion where applicable, withdraw consent, or raise a privacy complaint. We may ask for proportionate information to verify your identity before disclosing or changing records. We will explain if a record must be retained for a legitimate or legal reason. This policy does not limit rights available under applicable law.
9. Children and parents
If you are under 18, please ask your parent or guardian to make the enquiry on your behalf. Parents and guardians may contact us about a child’s information. Where a child’s personal information is needed for admission or another service, we will seek appropriate parental or guardian authorisation as required.
